OBJECTS :
The aim of the section is to be an
independent, self supporting section of
the parent club known as BERRY BOYS CLUB;
providing football training and
competitions for boys & girls in
their leisure time, thereby contributing
to their physical and mental
development.
MEMBERSHIP :
Membership shall be open to all boys
& girls, irrespective of colour or
creed, between the ages of five years and
eighteen years.
SUBSCRIPTIONS
: Every member shall pay an
annual fee determined by the section
committee. Method of payment to be agreed
by the section committee.
SECTION MANAGEMENT
COMMITTEE : hereinafter referred
to as the section committee.
The activities and
affairs of the section shall be
controlled by a committee which shall
consist of: - Chairman, Vice Chairman,
Secretary/Fixtures Secretary, Treasurer,
Social Secretary, Minutes Secretary,
Child Protection Officer and three other
persons; all to be elected annually at
the AGM , plus the managers of each team.
No person under the age of sixteen may
hold office.
The section
committee shall have the power to co-opt
not more than three additional persons,
who shall have full voting rights.
The section
committee shall meet not less than six
times each year.
The duties of the
section committee shall be to devise
methods for achieving the objects of the
section. To exercise a general oversight
of its activities. And to see that the
section is conducted in line with the
principles and aims of the Berry Boys
Clubs and the Essex County Football
Association.
The section
committee may delegate any of their
duties to sub-committees. Sub-committees
so formed shall, in the exercise of the
power so delegated, conform to any
regulations that may be imposed on it, by
the section committee.
Nominations for
election to the committee must be
submitted in writing to the Secretary,
not less than fourteen days prior to the
Annual General Meeting.
QUORUM
: A quorum shall be deemed
formed when five members of the committee
are present. A quorum for the AGM or
special meeting shall be
fifteen.
SECRETARY :
The secretary shall be responsible for: -
the day to day running of the section,
handling all correspondence of the
section and reporting on it at the next
meeting, ensuring that minutes are
recorded of all meetings. Calling
meetings as and when required or at the
special requests of not less than three
committee members. Arranging the AGM and
special meetings and for agendas of
same.
TREASURER :
The treasurer shall: - keep an account of
all the Moines received and paid by the
section. Present accounts at the AGM for
acceptance. Cause all bills to be paid
promptly. Advise the committee as to the
financial position of the section at all
time. All Moines raised on behalf of the
section must be paid to the Treasurer.
Any two of the Chairman, Secretary,
Treasurer to sign cheques.
HONORARY OFFICERS
: Honorary officers, consisting
of President and vice-presidents shall be
appointed by the sections committee, they
shall have the right to attend and vote
at all section meetings.
TRUSTEES :
Should the section acquire any property
or assets, these shall be vested in the
trustees appointed by the
committee.
ANNUAL
GENERAL MEETING : An AGM shall
be convened at the end of each financial
year, to receive the annual reports. To
accept the resignation of the old
committee and to elect a new section
committee. It will consider proposals for
alteration to the constitution and any
other proposals sent to the secretary at
least twenty-eight days prior to the AGM
. The AGM is open to all section members,
parents, voluntary helpers, and section
committee and honorary officers. Any
committee member, who has no vote as a
parent, may vote in his or her own right.
All parents present have the right to
vote. All nominees, proposers and
seconders must be present at the
meeting.
SPECIAL MEETING
: Special general meetings may
be called at any time by the Secretary
provided that fourteen days notice is
given.
AWARDS
: The Management committee shall
make awards annually, as they deem
fit.
WINDING UP :
The dissolution of the section shall be
the responsibility of the section
committee. If this should take place and
there remains any property whatsoever
after the discharge of all debts and
liabilities, the same shall be
transferred in the name of the Trustees
and deposited in Barclays Bank PLC ,
Basildon; until such times as the section
may be reformed. Provided that this is
within one year of the dissolution and
failing that, shall be transferred to the
parent organisation Berry Boys Club. The
section committee shall receive any
assets from sub committees which are
dissolved, and shall use these as they
deem fit.
CONSITUTION
: The Constitution may only be
altered at an Annual General Meeting or a
Special General Meeting, with a
resolution passed by a two thirds
majority of votes cast. This is provided
that the proposed alteration has been
submitted in writing to the Secretary at
least twenty-eight days before such a
meeting.
